Standard Operating Procedure for Grade Appeals
Students have the right to submit a grade appeal for their final semester grade in a specific course, provided that there are reasonable and verifiable grounds.
The objective of granting the right to appeal grades is to ensure fairness, transparency, and accountability in academic evaluation. The grade appeal process is divided into three stages, which are described in detail as follows:
a. Stage I Appeal
Before filing an objection to the final grade announced through the SIMAK academic information system, the student must first consult with their Academic Advisor (PA) and present sufficient evidence of dissatisfaction with the obtained grade. Examples of such evidence include: class attendance records, examination results, assignment results, and the final grade received.
After consultation, the student may file an objection directly to the course lecturer no later than three (3) × 24 hours after the grade announcement, accompanied by the relevant supporting evidence as mentioned above.
The lecturer shall review the student’s final grade and performance evidence within a maximum of two (2) × 24 hours after receiving the appeal.
If the lecturer accepts the student’s appeal, the lecturer must recalculate and revise the grade previously determined. If the lecturer rejects the appeal, the student may proceed to Stage II Appeal no later than two (2) × 24 hours after the rejection. If the appeal is accepted and a grade change occurs and is approved by the student, the lecturer must report the revised grade to the Study Program for updating in the SIMAK system. The result of this stage must be accompanied by an official record of grade revision (minutes of meeting) signed by both the lecturer and the student, and submitted no later than two (2) × 24 hours after signing. If the student remains unsatisfied, they may proceed to Stage II Appeal.
b. Stage II Appeal
If the result of Stage I is still unacceptable to the student, they may submit a Stage II Appeal to the Study Program Coordinator (Koprodi). The student must attach all previous evidence from Stage I, including the lecturer’s decision in the Stage I appeal. This stage must be initiated no later than two (2) × 24 hours after the announcement of the Stage I decision.
The Koprodi shall examine the documents submitted by the student and mediate a meeting between the student, the course lecturer, and the Academic Advisor.
This mediation must occur within two (2) × 24 hours of the Stage II appeal submission. At this stage, the Koprodi acts as an arbiter, and is expected to provide a fair resolution so that the appeal process can ideally be concluded at this stage.If, after mediation, the revised grade is accepted by the student, the lecturer must report the revised grade to the Study Program for updating in the SIMAK system. The result must be supported by a signed record of grade revision (minutes) approved by the Koprodi, and submitted within two (2) × 24 hours after signing.
If the Stage II revised grade is still not accepted by the student, the student may proceed to Stage III Appeal.
c. Stage III Appeal
If the Stage II Appeal does not meet the student’s expectations, the student may submit a Stage III Appeal to the Dean, through the Vice Dean for Academic Affairs and Planning (WD I). The submission must include all supporting evidence from Stage I and Stage II, including the lecturer’s decisions from both previous stages.
This stage must be initiated no later than two (2) × 24 hours after the announcement of the Stage II decision.Acting on behalf of the Dean, Vice Dean I shall examine the documents submitted and facilitate a meeting between the Koprodi, Academic Advisor, course lecturer, and the student to resolve the appeal.
This process must occur within two (2) × 24 hours after the student submits the Stage III Appeal.
At this stage, Vice Dean I acts as the final authority for determining the student’s final grade.Once the final grade revision has been determined by the Vice Dean for Academic Affairs and Planning, the student shall be given the opportunity to choose one of the grade outcomes from the entire appeal process.
The grade selected by the student will become the final and binding result.The lecturer shall report the final revised grade to the Koprodi for updating in the SIMAK system.
The final result must be accompanied by an official record of grade revision (minutes) signed by both the lecturer and the student, and approved by the Koprodi and the Vice Dean for Academic Affairs and Planning.
This stage must be completed within two (2) × 24 hours after signing. The Stage III Appeal constitutes the final appeal process that a student may undertake.
If the student remains dissatisfied with the result, they may submit a formal complaint through the Faculty of Economics and Business Complaint and Feedback Service (LAPAK FEB Unud) at the following address: https://lapak.febunud.id
